The same questions, every day
Run an online store with a handful of people and you know where the evenings go. Customers want to know where their parcel is. Suppliers send invoices that someone has to type in. Every answer means opening the store, finding the order, and copying something across.
We work with a three-person online skincare store where the founder spent most evenings on order emails. About half of them asked where a parcel was, and every answer meant opening the store, finding the order, and copying the tracking link.
Where your week goes
It’s usually the inbox first. Order questions, address changes, and delivery worries arrive all day, and most of them have the same answer in a different order number.
Then it’s the back office. Supplier invoices, stock counts, and the numbers your accountant needs all start as emails and PDFs that someone has to read and type.
Why buying a tool alone falls short
There are chat apps that promise to answer every customer question. On their own, they don’t know your orders, your returns policy, or the tone your customers expect. So they either give vague answers or confident wrong ones.
What makes AI useful in a small store is the setup around it. We connect the AI helper to your real orders in Shopify, your inbox, and your accounts, give it clear instructions, and keep a person checking before anything goes out. You can read how we think about this in our approach.

How we build it
We map how an order or an invoice moves through your week, then set up one AI helper for the job that costs you most.
For the skincare store, the AI helper reads each new email, looks up the order in Shopify, and drafts a reply with the tracking link already in it. The founder reads the draft, changes anything that needs it, and sends it. The founder now clears the order emails in about twenty minutes each morning. Returns still go through by hand, because each one needs a judgement call about the product.
For a five-person online homewares store, the job was 60 supplier invoices a month typed into Xero. The AI helper now reads each invoice from the inbox and drafts the bill in Xero. The bookkeeper checks and approves them in one sitting a week. Overseas invoices in other currencies are still done by hand.
Rules that apply to you
Australian Consumer Law sets what you owe customers on refunds, returns, and faulty goods. So the AI helper never decides a refund or a return. It drafts, and a person decides. Customer details stay in the tools you already control, and card payments stay with your payment provider.
What good looks like
Good looks like an inbox you clear before breakfast, supplier bills waiting for approval instead of typing, and more of your week on products and customers. Read the full stories from the skincare store and the homewares store, or see AI helpers and automating repeat work.
