AI helpers that take the repeat jobs off your plate
What we set up

Jobs an AI helper does well

You answer the same questions every week, and each answer means opening three apps to find the details. An AI helper (the industry calls it an agent) does that part for you. It reads the email or the form, looks up the order, the booking, or the price sheet, and drafts the reply. You read it, fix anything that needs it, and send it. We set up the AI helper around the tools you already use, keep it running, and change it as your business changes. It's the same kind of help a big company pays a team for, sized and priced for a team of one to ten.

What an AI helper does, in plain words

An AI helper reads something that comes in, looks up what it needs in your tools, and drafts the next step. That could be a reply to a customer, a quote for a couple, or the description for a new dress. Then it stops and waits for you.

That last part is on purpose. We set up AI helpers to do the slow, repeat part of a job and hand the finished draft to a person. You approve the refund, you send the quote, and you decide what goes out under your name. The AI helper saves you the looking up and the typing, and you keep the say.

Where small teams get stuck

You’ve probably tried a chat app already. It writes a nice paragraph, but it doesn’t know your prices, your stock, or the order a customer is asking about. So you copy details in, copy the answer out, and fix half of it. After a week it feels like one more tab to manage.

Meanwhile the same jobs fill your evenings. Where’s my order. What’s the price for a Saturday in March. Can you send the size guide. Each one takes two minutes, and there are forty of them.

Why a chat app on its own falls short

A chat app knows the internet, and it doesn’t know your business. The difference between a demo and real help is whether the AI can see your store, your inbox, or your booking system, and whether someone has told it what a good answer looks like for you.

It has to read your real details. We connect the AI helper to the tool where the answer lives. For the skincare store, that’s Shopify. For The Orchard Barn, it’s the price sheet and HubSpot. So the draft quotes your real tracking link or your real Saturday rate.

It has to know where to stop. Every AI helper we run has a short list of things it hands to a person. For a brow and lash artist, that’s any question about allergies or skin. For an online course, it’s any question about a student’s own tax.

Someone has to look after it. Your prices change, your products change, and the AI models change. We keep the AI helper running and adjust it when something shifts, so it doesn’t quietly drift out of date.

How we set one up

We keep it small, so you see it working before you rely on it.

  1. Pick one job. We start with the job that eats the most of your week and where a wrong draft is easy to catch.
  2. Connect it to your tools. We give the AI helper read access to the tool that holds the answers, and nothing more.
  3. Write its instructions. We write down how you’d answer, in your words and your tone, plus the cases it must hand to you.
  4. Test it on your real work. We run it on last month’s emails or enquiries and fix what it gets wrong before it sees a live one.
  5. You check every draft. Drafts wait for you while it beds in. We tune it from the changes you make.

What changes in your week

The online skincare store we work with had the founder answering order emails across the evening. Now the founder clears them in about twenty minutes each morning. Returns still go through by hand, because each one needs a call about the product.

At a two-person online course business teaching bookkeeping, 400 students asked the same questions in the community. The AI helper answers from the course material and links the lesson. The founders now answer about 20 questions a week instead of 120.

The pattern is the same each time. The repeat answers get drafted for you, and you spend your time on the replies that need a person.

What we set up

Jobs an AI helper does well

01

Customer email replies

It reads each new email, finds the order in your store, and drafts a reply with the tracking link or answer already in it, ready for you to check.

02

Quotes from an enquiry

It reads the enquiry form, works from your price sheet, and drafts the quote and a friendly reply, so quotes go out in a day instead of sitting for three.

03

Product and listing copy

It drafts product descriptions, care notes, listing copy, and social captions from your notes and photos, in the tone you already write in.

04

Answers from your own material

It answers the questions your customers or students ask over and over, using your course, your price list, or your policies, and links to the right page.

05

Messages in your DMs

It answers price and availability questions in your Instagram messages and sends your booking link, then hands anything personal to you.

FAQs

Common questions

What is an AI helper?
It's AI that does one real job in your business the same way every time, like drafting order replies or building a quote. It's connected to the tools you use, such as Shopify, Gmail, or HubSpot, so it works from your real details. A chat app on its own can't see any of that.
Does it send things without me seeing them?
Not unless you choose that, and we usually advise against it at the start. With one online skincare store, our first version sent simple tracking replies on its own. Then it sent a cheerful tracking link to a customer whose jar had arrived broken. We switched auto-send off, and every reply now waits for the founder.
I'm a team of one. Is this worth it for me?
Often it's worth the most for a team of one, because every hour you get back is your own. Our Solo package is $990 a month, which covers 1 AI helper set up and kept running, 2 hours a month of our time, and the AI running costs.
Which AI does it use?
We pick the AI model that suits the job, and we often use Claude. You're not tied to one AI model. Your instructions and your data sit apart from the model, so we can move them to a better one when it comes along.
What tools can it work with?
The ones you already run. We've set up AI helpers that work with Shopify, Gmail, Rex, Kajabi, HubSpot, Asana, Instagram, and Calendly. If a tool lets other apps read from it, an AI helper can usually work with it.
What won't it do well?
Anything that needs your judgement about a person. Returns, complaints, a client's allergy question, or a student's own tax situation all go to a person in the AI helpers we run. We set those lines up front, and the AI helper hands those cases to you.
How long until it's working?
A first AI helper on one clear job usually takes a few weeks, because we test it on your real emails or enquiries before you rely on it. You check every draft while it beds in, and we adjust it from what you change.
What happens to my customer data?
Your data stays yours. The AI helper reads only what it needs for its job, and we set up access so it can't reach anything else. There's no lock-in contract beyond the month, and if you stop, your data stays with you.
