How a two-person online course business went from 120 student questions a week to about 20

In short

What changed

We work with a two-person online course business that teaches bookkeeping. Its 400 students asked the same questions in the course community. An AI helper now answers from the course material and links the right lesson, and the founders answer about 20 questions a week instead of 120. Anything about a student's own tax goes to a person.

The same questions, 120 times a week

We work with a two-person online course business that teaches bookkeeping. Its course runs on Kajabi, with a community where 400 students ask questions as they work through the lessons.

Most of the questions were the same ones, asked again by a new student each week. How do I set up this account, where is the template for that lesson, what’s the difference between these two reports. The founders answered about 120 questions a week between them, and most of the answers were already in the course.

What we set up

We set up an AI helper (the industry calls it an agent) that reads new questions in the community. It looks for the answer in the course material and replies with a short answer and a link to the lesson it came from. If the answer isn’t in the course, it passes the question to the founders.

The founders get a short daily list of what the AI helper answered, so they can step in when a reply needs more.

What didn’t work the first time

Our first version also drew on general bookkeeping knowledge. Once, it gave an answer that contradicted the way the course teaches a step. The answer wasn’t wrong in general, but it confused a student who was following the lesson. So now the AI helper answers from the course material only.

What changed, and what still needs a person

The founders now answer about 20 questions a week instead of 120.

Anything about a student’s own tax goes to a person, because that’s personal advice and not something the course teaches. The founders also take any question the course doesn’t cover.

Where this fits

This is one of our AI helpers, answering from your own material. If you answer the same student questions every week, get your AI Starter Plan and tell it where your week goes.

Questions the founders answer each week

What changed

01

About 20 a week instead of 120

The founders now answer about 20 student questions a week. The AI helper answers the rest from the course material.

02

Every answer links a lesson

Each answer points to the lesson it came from, so students go back to the course instead of relying on a summary.

03

Tax questions go to a person

Anything about a student's own tax goes to one of the founders.

FAQs

Common questions

What does the AI helper answer from?
Only the course material in Kajabi. Our first version also drew on general bookkeeping knowledge, and once it contradicted a lesson. Now it answers from the course only, and if the answer isn't in the course, it passes the question to the founders.
Why do tax questions go to a person?
A question about a student's own tax is personal advice, and the course teaches the method, not the answer for one person's situation. The founders reply to those personally.
Do the founders still see every question?
They see a short daily list of what the AI helper answered, and they step in when an answer needs more. The 20 or so questions it passes on each week come to them directly.
