ChatGPT for small teams

Where it fits

How we use ChatGPT for small teams

ChatGPT is the chat app from OpenAI, and it's the AI tool most small teams try first. It's quick at drafting emails, tidying a messy paragraph, and talking through a problem at 9pm. The trouble starts when everyone uses it differently. One person pays for their own account, another pastes a client file into a free one, and nobody has written down what's allowed. We sort that out. We help you pick the right account type, write a one-page set of rules in plain words, and set up shared instructions (custom GPTs) for the jobs your team repeats. When a job needs to run every day without someone copying and pasting, we build it as an AI helper (the industry calls it an agent) connected to your tools.

What ChatGPT is

ChatGPT is a chat app made by OpenAI. It runs on OpenAI’s GPT models, and you can use it on the web, on your desktop, or on your phone. You type or talk to it, and it writes back. It’s good at first drafts, rewording, summing up a long email thread, and helping you think through a decision when there’s nobody else in the room.

On its own, ChatGPT doesn’t know your business. It hasn’t seen your orders, your price list, or your clients. It also sounds as sure of itself when it’s wrong as when it’s right, so anything that reaches a customer needs a person to read it first.

How a small team uses it with AI

Most small teams use ChatGPT one person at a time. The founder drafts a newsletter in it. Someone else uses it to rewrite a tricky client email. That’s useful, but it doesn’t build up, because every person starts from a blank chat and their own way of asking.

The first step is to make it shared. A business account keeps the work with the business. Custom GPTs give everyone the same starting point for the jobs you repeat, like writing product descriptions in your house tone or turning meeting notes into a client recap. Then a short set of rules makes clear what can go in and what can’t, like client contracts, bank details, or anything about a person’s health.

The second step is for jobs that happen every day. Copying an email into ChatGPT and pasting the answer back still takes your time. For those, we set up an AI helper (the industry calls it an agent) that reads the email, looks up what it needs, and drafts the reply where you work.

What we connect and build around it

  • Better instructions (prompt optimisation), so your custom GPTs give the right answer more often.
  • Connecting your tools (data pipelines), when a job needs your inbox, store, or spreadsheets.
  • Rules for using AI safely, written in plain words your team will read.

Some jobs fit ChatGPT well. Others fit a connected AI helper better, and that helper might run on an OpenAI model or another one. Your instructions and data sit apart from the model, so you’re not tied to any one company.

Where ChatGPT falls short

ChatGPT can’t remember your business the way a staff member does unless you give it the facts each time or store them in a project or custom GPT. It can’t see your other tools from the chat window. It also can’t make the judgement calls that need you, like whether to refund an unhappy customer or which client gets priority this week.

What we build

What we set up around ChatGPT

01

One account set-up for the team

We help you move from scattered personal accounts to a shared business account, so your work stays with the business and the data settings are the same for everyone.

02

Shared instructions for repeat jobs

We build custom GPTs for the jobs your team does every week, like product descriptions or client replies, written in your tone and with your rules.

03

Plain rules for what goes in

A one-page guide your team can follow: what's fine to paste in, what never is, and who to ask when they're unsure.

04

AI helpers when copy and paste runs out

When a job needs to run every day, we connect an OpenAI model to your inbox, store, or files through the developer connection, with a person checking the work.

About ChatGPT for small teams

ChatGPT for small teams is a foundation model. We connect it to the rest of your tools for teams of 1 to 10 people. Read more on the official site: https://chatgpt.com.

FAQs

Common questions

Can I use ChatGPT for my business?
Yes, and most small teams already do in some form. The safer way is a business account rather than personal ones, because OpenAI says it doesn't train its models on business account data by default, and the work stays with the business when someone leaves. Add a short set of rules about what goes in, and you're in good shape.
Does ChatGPT learn from what my team types in?
On personal accounts it can, unless the person turns that off in their data settings. On OpenAI's business plans and its developer connection (the API), OpenAI says it doesn't train on your data by default. Check the settings on whatever account your team uses today.
What's a custom GPT?
It's a saved version of ChatGPT with your own instructions, and files if you add them, for one kind of job. Your team picks it from a list instead of writing the same long prompt each time. It's a good first step before a fully connected AI helper.
Is ChatGPT better than Claude?
For most small business jobs, both are good enough. The bigger difference comes from what you connect them to and how clearly you tell them what to do. We test on your own emails and documents and tell you which fits each job. Our client helpers so far run on Claude, and we're not tied to either.
Can ChatGPT reply to my customers by itself?
Not from the chat window. It can't see your inbox or your orders unless something connects it. We build that connection as an AI helper, and every reply waits for a person to read it before it goes out.
