Google Gemini for small teams

Where it fits

How we use Google Gemini for small teams

Gemini is Google's family of AI models, and it's built into many Google Workspace plans. That means it can sit beside you in Gmail, Docs, and Sheets, helping draft an email or sum up a long thread without a separate app. It can also read images, audio, and video, and it takes in a lot of text at once. For a small team already on Google, that's a quick win. The limit is that each person still asks it one thing at a time. When a job repeats every day, like sorting enquiries or filling in a weekly report, we build it as an AI helper (the industry calls it an agent) that runs on its own schedule and waits for a person to check the result.

What Gemini is

Gemini is a family of AI models made by Google. You can use it in the Gemini app, inside Google Workspace apps like Gmail, Docs, and Sheets, or through Google’s developer connection (the industry calls it an API). It reads text, images, audio, and video, and it can take in long documents in one go.

Like any AI model, Gemini doesn’t know your business until it can see your information, and it can be wrong while sounding sure. Anything it writes for a customer needs a person to read it first.

How a small team uses it with AI

If your team already runs on Google, Gemini is the closest AI to hand. In Gmail it can sum up a long thread or help draft a reply. In Docs it can turn rough notes into a first draft. In Sheets it can help you make sense of a messy table. Each of these saves a few minutes, and for a team of three or four those minutes add up across the week.

The catch is that someone still has to ask. Gemini in Workspace helps the person in front of it. It doesn’t watch your inbox overnight or fill in a report on Friday morning by itself. Jobs like that need an AI helper (the industry calls it an agent) that runs on its own schedule.

What we connect and build around it

  • Training on your own work, so your team knows where Gemini helps in their day and where it wastes time.
  • Connecting your tools (data pipelines), so an AI helper can read the right Gmail label, Drive folder, or Sheet.
  • Better instructions (prompt optimisation), written down and shared, so everyone gets the same quality of answer.

We pick the model for each AI helper by testing on your work. Sometimes that’s Gemini. Our client helpers so far run on Claude, including the ones built around Google Sheets and Docs, like the grant report for a food relief charity.

Where Gemini falls short

Gemini in Workspace helps one person with one task. It doesn’t carry a job from start to finish across your tools. What you get also depends on your Workspace plan, and Google changes the features often, so something you read about last month may look different now. And like every model, it can’t make the judgement calls that need you.

What we build

What we set up around Gemini

01

Gemini in your Workspace, used well

We show your team where Gemini helps in Gmail, Docs, and Sheets, and where it doesn't, using your own emails and files as the examples.

02

Shared instructions

We write the instructions your team reuses for repeat jobs, so everyone gets the same quality of answer in your tone.

03

AI helpers for daily jobs

When a job repeats, we build an AI helper connected to your Gmail, Drive, and Sheets that drafts the work for a person to check.

04

The right model per job

We test Gemini against other models on your work and pick what fits. Your instructions and data sit apart from the model, so you're not tied to one.

FAQs

Common questions

Is Gemini included in Google Workspace?
Google includes Gemini features in many Workspace business plans. What you get depends on your plan and your region, so check your admin console or Google's plan page. We can help you work out what you already have before you pay for anything new.
Does Google use my business data to train Gemini?
Google says it doesn't use your Workspace data to train its models outside your organisation without permission. Personal Google accounts have different settings. If your team mixes personal and business accounts, that's the first thing we'd tidy up.
Can Gemini create images?
Yes, Gemini can create and edit images. For most small teams, the bigger time saver is the reading and drafting work in Gmail, Docs, and Sheets.
Should I use Gemini or ChatGPT?
If your whole team works in Google Workspace, Gemini is the easiest to start with because it's already where you work. For connected AI helpers, we test models on your own work and pick the best fit. Our client helpers so far run on Claude.
Can Gemini answer my customer emails on its own?
Inside Gmail, it helps you draft a reply when you ask. It doesn't read and reply to your inbox on its own. For that, we build an AI helper connected to Gmail, and every reply still waits for a person before it's sent.
