HubSpot for small teams

Where it fits

How we use HubSpot for small teams

HubSpot keeps your contacts, enquiries, and deals in one place, so you can see who asked about what and where each one is up to. A small team often sets it up, then finds it fills with enquiries nobody has had time to answer. That's where AI helps. We connect HubSpot to an AI helper (the industry calls it an agent) that reads each new enquiry, pulls in what you already know, and drafts the reply or the quote for a person to check. HubSpot stays the record. The AI helper does the first draft. You keep the call on who to book and what to say.

What HubSpot is

HubSpot is a customer list and sales tool (the industry calls it a CRM). It keeps every contact, enquiry, email, and deal in one place, so you can see who asked about what and what happens next. It also has tools for marketing emails, a shared inbox, and help desk tickets. Small teams usually start with the free tools and add paid parts as they grow.

How a small team uses it with AI

The hard part for a small team is rarely the software. It’s the time between an enquiry landing and someone writing a good reply. AI is good at that first draft.

We work with The Orchard Barn, an eight-person wedding venue in the Barossa. Every enquiry needed a custom quote from a price sheet, and quotes could take up to three days. We set up an AI helper (the industry calls it an agent) that reads each enquiry from the form in HubSpot, works out the quote from the venue’s price sheet, and drafts a reply in Gmail. Quotes now go out within a day. The events manager still calls every couple before anything is booked, because that conversation is the part couples remember. Read the full story.

What we connect and build around it

  • Connecting your tools (data pipelines), so HubSpot, your inbox, your website form, and your price sheet all feed the same AI helper.
  • Better instructions (prompt optimisation), so drafts follow your tone and your rules about what to promise.
  • Notes and follow-ups, so each contact in HubSpot shows what was sent and what’s next.

Where HubSpot falls short

HubSpot only knows what goes into it. If half your enquiries come through Instagram messages or a text to your mobile, they won’t show up unless someone or something brings them in. It can also grow into more than a small team needs, with paid tiers that add up. We’ll tell you when a simpler list does the job.

What we build

What we set up around HubSpot

01

Drafted replies to new enquiries

Each new form or email enquiry gets a first reply drafted from your price sheet and past answers, ready for a person to read and send.

02

Quotes from your price sheet

The AI helper reads the enquiry details in HubSpot and drafts a quote from your own prices, so the quote and the record match.

03

Notes that write themselves

After an email thread, the AI helper adds a short note to the contact in HubSpot, so anyone on the team can see where things stand.

04

Connected to your inbox and forms

We connect HubSpot to Gmail and your website form, so every enquiry lands in one place and nothing sits in a personal inbox.

FAQs

Common questions

Is HubSpot too big for a team of three?
Not if you use the parts you need. HubSpot has free tools and paid tiers, and plenty of small teams run on the contact list, the deal board, and the shared inbox alone. We'd rather set up two parts well than switch on ten you won't open.
Does HubSpot already have AI built in?
Yes, HubSpot has its own AI features, and which ones you get depends on your plan. They're useful inside HubSpot. We build AI helpers when the job reaches past HubSpot, like a quote that needs your price sheet from Google Sheets or a reply that needs an order from your store.
Will the AI helper email my customers on its own?
No. Every reply and quote waits as a draft until a person reads it. After a few weeks of checked work, you can decide if any simple step can run on its own, and many teams choose to keep checking.
We use a spreadsheet for leads. Should we move to HubSpot?
Maybe not. If one or two people handle every enquiry and the spreadsheet works, an AI helper can draft replies from that instead. We'll map how you work first and only suggest HubSpot if it saves you more time than it costs to run.
Who owns the data in HubSpot?
You do. Your contacts and notes stay in your HubSpot account, and our AI helpers read from it and write drafts back. If you leave us, everything stays where it is.
