Instagram for small teams

Where it fits

How we use Instagram for small teams

For a lot of small businesses, Instagram is the shop window and the front desk at once. People see your work, then send a message asking what it costs and when you're free. If you're mid-appointment, that message waits, and some get missed. We set up an AI helper (the industry calls it an agent) that reads new Instagram messages, answers the questions it can answer well, like price and availability, and sends your booking link. Anything about health, skin, or a person's own situation goes straight to you. You choose which questions the AI helper handles on its own and which ones always wait for you.

What Instagram is

Instagram is Meta’s photo and video app. For small businesses in beauty, fashion, food, and coaching, it’s often where new customers first find you and where they first get in touch. A professional account (a business or creator account) adds contact buttons, post numbers, and the option to connect outside tools to your messages.

Instagram is great for showing your work. It isn’t built to run a front desk, so messages stack up in the same inbox as friends, fans, and spam.

How a small team uses it with AI

We work with a solo brow and lash artist whose booking questions arrived in Instagram messages during appointments. With the artist’s hands busy, those messages waited, and some were missed. We set up an AI helper (the industry calls it an agent) that answers price and availability questions and sends the Calendly booking link. The artist misses fewer enquiries now. Anything about allergies or skin still goes to the artist, because that’s a conversation the AI helper shouldn’t have. Read the full story.

The same set-up works for a boutique answering “is this in stock in a size 12” or a coach answering “when does the next course start”. The AI helper only answers from the facts you give it, like your price list, your calendar, or your stock count.

What we connect and build around it

  • Connecting your tools (data pipelines), so the AI helper can see your price list, your booking calendar, or your store before it answers.
  • Better instructions (prompt optimisation), with your tone, your prices, and your hand-off rules written down.
  • A log you can read, so you can scroll back through what the AI helper said and fix anything that needs changing.

Where Instagram falls short

Meta sets the rules for how business tools reply to messages, including the 24-hour reply window, and those rules change from time to time. So we check the connection when Meta makes changes. The AI helper also only handles direct messages. Comments on your posts and anything that looks like a complaint stay with a person.

What we build

What we set up around Instagram

01

Quick answers to booking questions

The AI helper answers price and availability questions from your own price list and calendar, then sends the booking link.

02

Hand-off rules you set

Questions about allergies, skin, health, refunds, or complaints skip the AI helper and go to you, flagged so you see them first.

03

Captions drafted from your notes

Give the AI helper a few notes and photos, and it drafts captions in your tone for you to edit and post.

04

One list with your other inboxes

Instagram messages can sit in the same morning list as your email and website enquiries, so nothing hides in one app.

FAQs

Common questions

Do I need a business account on Instagram?
Yes. Outside tools can only connect to a professional account (a business or creator account), and it needs to be linked through Meta's business tools. Switching over is free in the Instagram app.
Will people know they're talking to AI?
We think they should, so we set the AI helper to say so in its first reply.
Can the AI helper reply any time, day or night?
It can reply soon after a message arrives. Meta only lets business tools reply within 24 hours of the person's last message, so the AI helper answers fast, and anything older waits for you.
What if someone asks something the AI helper shouldn't answer?
It tells them you'll get back to them and flags the message for you. For the brow and lash artist we work with, every question about allergies or skin goes to the artist, no matter how simple it looks.
Can it post to Instagram for me?
We keep posting with a person. The AI helper can draft captions, and you choose the photo, edit the words, and press post.
