What n8n is
n8n is a tool for building workflows that connect apps. You lay out the steps on a screen like a flow chart: a trigger, like a new email or a time of day, then the actions that follow. It connects to hundreds of apps, can call almost any app that offers a developer connection (the industry calls it an API), and lets you add code when a step needs it. It also has building blocks for AI models and AI helpers.
You can run n8n on your own systems or use n8n’s own cloud. That choice is the main reason people pick it over Zapier.
How a small team uses it with AI
For a small team, n8n is the engine behind jobs that run on their own. Each morning, a workflow can read the night’s enquiries, ask an AI model to sort them and draft replies, and drop the drafts in the right inbox for a person to check. On Friday, another can gather the week’s numbers from a few apps and fill in a report.
These are AI helpers (the industry calls them agents) running on a schedule. n8n handles the fetching, the waiting, and the retries, and the AI model handles the reading and writing. A person still checks anything that reaches a customer.
What we connect and build around it
- Mapping how you work (process mapping), so each workflow does a job you’d otherwise do by hand.
- Connecting your tools (data pipelines), including the apps that aren’t on the usual lists.
- One home for your data (a data lake), when a helper needs information from several tools in one place.
- Hosting and care, if you want n8n on your own systems.
Where n8n falls short
n8n asks more of you than Zapier. If you host it yourself, someone has to keep it updated, backed up, and safe. A workflow with lots of steps can get hard to follow unless it’s laid out and written down well. And for a team with a handful of simple connections, it’s more tool than you need.
Where this fits
See how this shows up in connecting your tools, automating repeat work, and one home for your data, and in industries like e-commerce and marketing and creative agencies. To see which jobs are worth connecting first, get your AI Starter Plan.
