Thank-you letters, volunteer replies, and newsletters drafted for your coordinator
A charity with one or two paid staff runs on a lot of writing. Donor thank-yous, volunteer replies, newsletters, and grant reports all land on the coordinator. An AI helper takes the first draft of the repeat writing, working from your own records, so a person checks and sends rather than starting from blank. We work with an animal rescue where an AI helper drafts the weekly roster, and the coordinator still decides who handles new animals.

Where a small charity’s week goes
In a charity with one or two paid staff, the coordinator does everything that isn’t frontline. They thank donors, answer volunteer questions, write the newsletter, prepare board papers, and fill in grant reports. Much of that writing follows the same shape every time, but it still gets written from scratch, usually at night, by someone who’d rather be with the people the charity exists for.
What an AI helper does
An AI helper (the industry calls it an agent) is AI set up to do one job the same way every time. For a small charity, that’s often the first draft of repeat writing. We give it your records, your volunteer guide, and examples of how your charity writes. It drafts a thank-you for each donation, a reply to each volunteer question, or the totals for a grant report. A person reads every draft and sends it. Stories about the people you help stay with your staff.

Two charities we work with
We work with an animal rescue with one paid coordinator and 45 volunteers. An AI helper collects volunteer availability, drafts the weekly roster, and messages the gaps. The roster now takes an hour instead of an evening, and the coordinator still decides who handles new animals. We also work with a community food relief charity where an AI helper fills the funder’s report with totals from three spreadsheets. The first draft now takes the coordinator about a day, and staff write the stories themselves.
What stays with your people
The AI helper drafts from what’s recorded. It doesn’t know which volunteer is going through a hard time or which donor gave in memory of someone. Anything personal or sensitive, and anything about the people your charity supports, is written by a person. It also won’t send anything on its own.
If your coordinator writes the same emails every week, get your AI Starter Plan and tell it where the time goes.
