Rex for boutique agencies

Where it fits

How we use Rex for boutique agencies

Rex is an Australian CRM and listings system for real estate agencies. It holds your contacts, appraisals, listings, and campaign details in one place. In a boutique agency, the person who lists the property usually writes everything about it too: the listing description, the campaign email, and the social captions, all from their own notes. That's hours per listing. We set up an AI helper (the industry calls it an agent) that drafts all three from the notes and photos already in Rex, in the agency's own voice. The listing agent reads the drafts, rewrites what needs their touch, and sends them. The knowledge of the property stays with the person who walked through it.

What Rex is

Rex is an Australian real estate CRM and listings system, made by Rex Software. Agencies use it to keep track of contacts, appraisals, listings, campaigns, and open homes, and it can also run property management. Many boutique agencies use it as the one place where everything about a property and its buyers lives.

Rex stores the facts about a property well. It doesn’t write the words that sell it, so that job still lands on the listing agent, usually after hours.

How a small team uses it with AI

We work with Harbour Lane Property, a three-person boutique agency in Newcastle. The listing agent wrote every listing description and campaign email by hand from appraisal notes, and each listing took about three hours. We set up an AI helper (the industry calls it an agent) that drafts the listing copy, the campaign email, and the social captions from the notes and photos in Rex. The team designs the social pieces in Canva. Each listing now takes about forty minutes. The principal still rewrites every headline, because that’s where the agency’s voice matters most. What we connect and build around it

  • Connecting your tools (data pipelines), so notes and photos from Rex reach the AI helper, and drafts come back where your team works.
  • Better instructions (prompt optimisation), with your agency’s tone, your banned phrases, and your house rules written down and tested on past listings.
  • Mapping how you work (process mapping), so we know which step of your listing process takes the most time before we build anything.

Where Rex falls short

The AI helper can only work from what’s in Rex. If the appraisal notes are two lines long, the draft will be thin, and the listing agent ends up writing it anyway. So the habit that helps most is writing fuller notes at the appraisal. The AI helper also can’t see a property. Light, outlook, and the feel of a street come from the person who walked through it.

What we build

What we set up around Rex

01

Listing copy from your notes

The AI helper drafts the listing description from appraisal notes and photos in Rex, in the agency's tone, for the listing agent to edit.

02

Campaign emails and captions

One set of notes becomes a listing description, a buyer email, and social captions, so each listing starts from a full set of drafts.

03

Your agency's voice, written down

We write down how your agency describes homes, including the words you never use, and test it on your past listings.

04

Follow-ups from your contacts

After an open home, the AI helper drafts follow-ups for each attendee from your Rex contacts, ready for the listing agent to check.

FAQs

Common questions

Can an AI helper read my Rex account?
Rex lets approved outside tools connect to an agency's account, with your permission. We check what your account and your Rex set-up allow before we build, and we only give the AI helper the parts it needs.
Will the listing copy follow advertising rules?
The AI helper drafts, and the listing agent signs off. We write your agency's rules into its instructions, like no price guides it hasn't been given and no claims about a property it can't see in the notes. The listing agent still owns what gets published.
Won't every listing start to sound the same?
It can if nobody edits it. At Harbour Lane Property, the principal still rewrites every headline, and that's the part buyers see first. We also give the AI helper your best past listings as examples.
Does this help with property management too?
It can. We work with a solo property manager who looks after 140 rentals, where an AI helper sorts tenant repair requests and drafts each job for the tradie. That one runs on Gmail and Airtable, and the same idea works alongside Rex.
We're a three-person agency. Which package fits?
Most agencies that size start on Small Team. It covers 2 AI helpers, half a day a month of our time, a monthly review call, and the AI running costs, for $1,950 a month.
