Listing copy drafted from your notes, so your evenings stay yours

In a small agency, every new listing means hours of writing before a single buyer sees it. An AI helper reads your appraisal notes and photos in Rex and drafts the listing description, the campaign email, and the social captions in your agency's voice. You read the draft, fix what needs fixing, and send it. Harbour Lane Property in Newcastle went from about 3 hours of writing per listing to about 40 minutes, and the principal still rewrites every headline by hand.

Where it helps

Jobs an AI helper takes off a small agency's desk

01

Listing descriptions

Drafted from your appraisal notes, room list, and photos in Rex, in the tone your agency already uses on the portals.

02

Campaign emails and captions

The just-listed email to your buyer database and the Instagram captions come out of the same notes, so one sitting covers the whole launch.

03

Open home follow-ups

After Saturday's open, the AI helper drafts a personal follow-up to each attendee from the names and comments you logged, ready for you to check.

04

Buyer enquiry replies

Questions about strata levies, inspection times, or the contract get a first reply drafted from the listing file, waiting in Gmail for you to send.

Where a small agency’s week goes

In a boutique agency, the selling happens at appraisals, open homes, and on the phone. The writing happens after hours. Each new listing needs a portal description, a just-listed email to the buyer database, a few Instagram captions, and a brochure in Canva. Then come the open home follow-ups, the buyer questions about body corporate fees, and the vendor who wants to know how the weekend went. Most of that writing starts from notes you already took at the appraisal and keep in Rex.

What an AI helper does here

An AI helper (the industry calls it an agent) is AI set up to do one real job the same way every time. For an agency, that job is usually the first draft. We connect it to your listing notes and photos in Rex and give it your past listings as a guide, so it learns how your agency describes a north-facing yard or a renovated bathroom. When a new listing goes in, the AI helper drafts the description, the campaign email, and the captions together. You read them, change what’s wrong, and publish.

The same AI helper can draft open home follow-ups from the attendee list, and first replies to buyer enquiries in Gmail, using only the facts in the listing file.

What it did for Harbour Lane Property

We work with Harbour Lane Property, a three-person boutique agency in Newcastle. Their agents wrote every listing description and campaign email by hand from appraisal notes, and it took about 3 hours per listing. Now an AI helper drafts the listing copy, the email, and the social captions from the notes and photos in Rex. Each listing takes about 40 minutes. The principal still rewrites every headline, because that’s the line buyers remember and the agency wants it in its own words.

What the AI helper can’t know

The AI helper only knows what’s in your notes. It can’t tell that the street gets busy at school pickup, or that the vendor wants the garden mentioned first. It also won’t check a claim against the title or the strata report, so anything about land size, zoning, or approvals must be checked by a person before it goes live. That’s why every draft waits for someone in the agency to read it.

If your listings are written at the kitchen table after dinner, get your AI Starter Plan. You’ll tell it how your week runs, and it’ll show you where to start.

FAQs

Common questions

Will an AI helper write listings that all sound the same?
Only if it's given generic instructions. We set it up with your past listings, the words you use, and the ones you avoid, so drafts sound like your agency. You still edit every one, and most principals keep the headline for themselves.
Does it work with Rex?
Yes. The AI helper reads the listing notes and photos you already keep in Rex, so nobody types the same details twice. If your agency uses a different CRM, tell us in your AI Starter Plan and we'll check how it connects.
Can it post listings to the portals on its own?
We don't set it up that way. Anything a buyer reads about a property is the agency's responsibility, so a person checks and publishes every listing. The AI helper drafts, and you decide.
What does it cost for a small agency?
A three-person agency usually starts on Small Team at $1,950 a month, which covers 2 AI helpers, half a day a month of our time, a monthly review call, and AI running costs. A solo agent can start on Solo at $990 a month, which covers 1 AI helper, 2 hours a month of our time, and AI running costs.
What won't it do well?
It doesn't know what a home feels like to walk through. It writes from what you give it, so if your notes miss the morning light in the kitchen, so will the draft. That part of the job stays with the agent who stood in the room.
