What Claude is
Claude is a family of AI models made by Anthropic. You can use it in the Claude app on the web, desktop, or phone, or connect it to other software through Anthropic’s developer connection (the industry calls it an API). It’s good at the work small teams do every day: reading a long email thread, drafting a reply in a set tone, pulling the numbers out of a messy spreadsheet, and following a long list of house rules without dropping half of them.
Out of the box, Claude knows nothing about your business. It hasn’t seen your orders, your client list, or your price sheet. It can also state something wrong with full confidence, so anything it writes for a customer needs a person to read it first.
How a small team uses it with AI
Most teams start in a browser tab. You paste in an email, ask for a reply, and copy the answer back. That helps, but it’s still you doing the fetching and carrying. The bigger win comes when Claude does one job end to end, as an AI helper (the industry calls it an agent).
We work with a three-person online skincare store where the founder spent most evenings on order emails. About half asked where a parcel was. We set up an AI helper that reads each new email in Gmail, looks up the order in Shopify, and drafts a reply with the tracking link already in it. Our first version sent simple replies on its own, until it answered a customer with a broken jar with a cheerful tracking link. So we switched that off, and every reply now waits for the founder. Order emails now take about twenty minutes each morning. Returns still go through by hand. Read the full story.
What we connect and build around it
The model is the easy bit. The work is everything around it:
- Connecting your tools (data pipelines), so Claude sees your orders, enquiries, invoices, or project board.
- Better instructions (prompt optimisation), written down and tested on your own past work, so answers come out right more often and cost less to run.
- A review step, so a person reads every draft that reaches a customer, a client, or your books.
We’ve used Claude for listing copy at a boutique real estate agency, product descriptions for a slow fashion label, and answers to student questions for an online course. Each one started with mapping how you work, so the AI helper was pointed at the right job first.
Where Claude falls short
Claude can’t make a judgement call that needs your knowledge of a client or a product. It doesn’t know what happened in a phone call, and it won’t notice a problem that isn’t written down anywhere it can see. That’s why returns, complaints, and anything about health, money, or a person’s own situation stay with a person in every helper we build. It also isn’t the cheapest choice for very simple, high-volume jobs, where a smaller model or a plain rule does the work for less.
